Checking Locality Registrations – Early Pre-registration

As localities submit their registrations, sometimes there need to be corrections to be made so that we maintain a level of standard in our reporting, accounting, and level of service across the entire conference.

When you receive a locality’s registration spreadsheet, check for the following:

Registration Spreadsheet:

  • Localities are the same as locality of LRC and are consistent.
    • One locality may not register for another.
    • Attendees from one locality may register with another locality, but they would be grouped with the locality that is submitting the registration. This is the same if one locality decides to register with another locality.
  • Locality names are consistent with the spelling of the top half of the Finances sheet in the Registration Master.
  • First and last names are filled out completely.
  • Gender is indicated.
  • Group is indicated with their own grouping or with “Own.”
  • Groups are no more than 4 in size (or larger with sub-divisions of no more than 4).
  • Allergies are indicated as a combination of C, D, and O and everything else is indicated in comments.
  • Exactly one status is indicated (not multiple or none).
  • All attendees have cell phone and email.
  • No attendee has indicated that they will attend the conference on Saturday only or that they are part time (only full-time registrations are allowed).
  • Ignore the “Locality Use” columns.
  • (when in effect) The ratio of students to non-students is at least 2:1.
  • Check for other red or orange highlights in the sheet.

Registration Responsibility:

  • The Locality Registration Coordination section is filled out.
  • At least one conference contact is indicated per gender.
    • Except when a locality is small.
    • Except when only a small handful of that gender are registered and they are all new/students.
  • Conference Contacts are registered for the conference full time and are not indicated in the comments that they will arrive on Saturday.
  • Conference contacts are not trainees or students
    • In certain cases, upperclassmen or graduate students are allowed if they are capable of shepherding the other students and there is no other alternative.
  • Check for other orange or red highlights in the sheet.
